Basic Walt Disney World Resort Hotel Information

Planning a Walt Disney World vacation that includes a Disney Resort stay can be a lot of fun… and a lot of stress. We’re taking a look at some basics of booking and staying in a Walt Disney World Resort hotel.

Making Reservations at a Disney Resort

Benefits of Staying “On Site”

Disney resort guests are entitled to many benefits, including:

  • Guaranteed admission to the parks (assuming you purchased park admission and scheduled a Disney Park Pass reservation), even on the busiest of days when they start turning others away at the gates — with one exception. When the parks are at their highest level of attendance, they may be closed to everyone not already inside the park.
  • Disney “magic” and service 24 hours a day. Many people say that the level of service, cleanliness, and security at the Disney hotels makes them worth the extra expense.
  • Free purchases delivered directly to their resorts (allow at least 24 hours for delivery). *currently unavailable*
  • Priority golf reservations up to 60 days prior to arrival.
  • Free parking at the theme parks.
  • Unlimited free use of Walt Disney World transportation.
  • The option of keeping pets overnight in Best Friends Pet Care kennel (for an additional fee) or in their rooms at pet-friendly Resorts.
  • Wake-up calls from a Disney character.
  • Access to Disney’s closed-circuit television information channels, plus Disney Channel, ESPN, and others.
  • Free wheelchairs from the resort for use at your resort for the length of your stay, based on availability. Deposit is required.
  • The option to purchase Rapid Fill Mugs that can be refilled at the Resort (or at any Resorts guests might visit).
  • Access to Early Theme Park Entry, a program that allows you to visit all four theme Parks 30 minutes before scheduled Park opening every day.
  • Access to Extended Evening Hours for guests of Deluxe Resorts or Deluxe Villas.
  • Disney’s Magical Express, free transportation from/to Orlando International Airport to your Disney Resort (service ends January 1, 2022).
  • Proximity to the Parks and attractions. None of the off-site hotels are as close to the Disney attractions as the Disney Resorts.

Choosing the Right Resort

There are five main criteria to consider when selecting a Walt Disney World Resort hotel. They are:

  • How much do you want to spend?
  • What activities and recreation will you want to participate in?
  • How many people are in your party, and what are their ages?
  • What amenities do you want? (A gym? Table Service restaurants? A hair salon? A whirlpool? A full kitchen? Tennis courts?)
  • Do you want to be close to a particular Park or area?

Each Resort has its own unique ambiance and amenities. During the so-called Value Season, rooms can range from $112 a night (plus tax) at a Value Resort to $417 a night (plus tax) or more for basic accommodations at the least expensive Deluxe Resorts. Villas and suites are typically more expensive. (Note: these prices were accurate as of 5/2020.)

Value Resorts remain your best financial bet on a budget.

You can watch free planning videos from Disney Parks here, and browse AllEars’ main accommodations page here.

Reservation Logistics

You have several options for booking your Walt Disney World Resort hotel. Choose the one that works best for you, knowing that you can always call or chat online with an official Disney reservations Cast Member.

  • Call Disney Reservations at 1-407-W-DISNEY (934-7639). Hours are from 7AM to 11PM EST seven days a week.
  • Have a travel agent make Resort reservations through Disney. AllEars® recommends MouseFanTravel.com.
  • Visit the Walt Disney World website, and make Resort reservations online. The online reservation system is available 24/7.
  • Chat with a Disney reservations Cast Member online at DisneyWorld.com.
  • Log into your My Disney Experience account, and reserve a room (or book a package) on the app.

Reservation Deposit

If you book your Disney Resort or vacation package online or on the My Disney Experience app, you will need to pay a $200 deposit upon booking. If you book by calling Disney reservations, you have a three-day window to make your $200 deposit.

Trip Cancellations

In terms of whether or not you may lose your deposit should you need to cancel your trip: this varies according to the kind of package you have booked (if any) and how far in advance you are canceling. Be sure to ask about the cancellation policy when you make your reservation, and read the fine print!

Animal Kingdom Lodge

Generally speaking, if you have a room only and cancel no less than five days prior to your intended arrival you will receive a full refund. After five days, your refund is at the discretion of the Resort and might be prorated.

If you have booked a package, you must pay in full by 45 days prior to the start of your vacation. If you cancel by 45 days out, you can get a full refund of payments and the deposit.

Reservation Timeline

As soon as you have decided on dates for your trip, make your reservations. Disney Resort rooms book quickly, so the earlier you inquire, the more likely it is that you will get the room and resort you desire.

Port Orleans — French Quarter

If you use a great vacation planner, like someone from MouseFanTravel.com, once you have a reservation they will keep an eye out for announced discounts and will apply them to your reservation.

Reservations Tip

If you can’t find the Resort reservation you want for the time you need, keep checking, every day if necessary, until something opens up. People cancel rooms all the time, so don’t give up. Disney releases canceled rooms at 8AM EST, so if you’re west of the Mississippi you’ll have to get up really early to catch a canceled room, but you’ll probably be glad you did.

Room Requests

Room requests might include specific room numbers, adjoining rooms, particular floors, or specific locations within the Resort (i.e. in a building near transportation).

If you call Disney to make reservations, you can make your requests known at that time. If you use the online check-in feature on My Disney Experience, you will be able to note room requests there as well.

Note: Disney World will not guarantee you any of your requests, but they do make every effort to accommodate your needs.

Checking In/Out

Pre-arrival  and Online Check-in

Walt Disney World encourages online check-in. During the Online Check-in process you will need to provide the same information you do during in person check-in: name, room requests, address, phone number, credit card, etc. For more information visit our Online Check-in Page!

For Disney Vacation Club members, your resort reservation number should be in your My Disney Experience account. If not, add it. Then you can pre-check-in, too.

Check-in Time

All resorts offer an early check-in time of 6AM, at which time you can go to the front desk and check-in (if you opted not to check in online). You will be able to provide your information, ask questions (like what movies are scheduled for Movies Under the Stars!), and set up charging privileges — but don’t expect your room to be ready though until the official check-in time.

If you ordered MagicBands that needed to be sent to the Resort, this is the time to pick those up, too.

Disney’s Contemporary Resort Lobby

Official check-in times are 4PM for Disney Vacation Club Deluxe Villas and 3PM for all other Resorts. Your room should be ready by this official check-in time. Rooms can be ready before this time, but they are not guaranteed.

If you check-in online, you will receive a text and/or an email with your room information when it is ready. This information should also include an online map so that you can skip the front desk altogether. This is called the Mobile Room Ready Notification Service.

Front Desk Check-in

If you opt to check in at the front desk of your Resort, a Cast Member will check the computer for your reservation or scan your MagicBand to see what type of room and package you have. You will be asked for a credit card number to keep on file (if you wish to have charge privileges). You’ll receive a map with your room marked on it. If you request celebration buttons, you might be able to get those at this time, too.

Gran Destino Lobby

Arrival Day — Room Not Ready

If your room isn’t ready when you check in, you can leave your luggage with Bell Services. You can swing by to pick it up later, or you can request that they deliver it to your room later. (At present, Bell Services will only deliver luggage to a room if the occupants are there to accept it.)

Bell Services at Port Orleans — Riverside

After dropping off your luggage, you are free to go explore the Parks or the rest of Walt Disney World. Use the Mobile Room Ready Notification so you’ll know when your room is ready.

Once your room is ready, use your MagicBand or the Digital Room Key in your My Disney Experience app to enter your room at your leisure.

It’s a good idea to pack a small bag with a change of clothes so that you don’t have to rummage through your luggage before the Bell Services team stores it. This is especially helpful when you are going from one climate to the next. Packing shorts and/or swimwear will help you relax until your room is ready.

Tip: Some of our favorite arrival day things to do include swimming and relaxing at our resort or heading to Disney Springs for some great eats, entertainment, and shopping!

Check-out Day Tips

If you check out at 11AM and your transportation home doesn’t leave until  much later, leave your luggage at the bell stand, then go enjoy the Parks, water parks, or Disney Springs until it’s time to leave. You can claim your luggage upon your return to the Resort.

If your park tickets have run out, visit the other Disney resort areas — maybe a round of mini golf? — or Disney Springs. If the Resort is not full, you may be able to request late check-out the morning you leave, however this seems rarely available anymore and will only buy you 1-2 extra hours.

You can also use Disney’s resort Airline Check-in Service (*currently unavailable*) Be sure to check this out before your departure day to determine when your luggage will need to be dropped off.

If you are using Magical Express, follow their procedures for luggage and departure times. (*Unavailable starting January 1, 2022*)

Magical Express Departure

Split-Stay Tips

When you book a split stay (meaning you start your trip at one Resort, then move to another for the second part of your trip), the Disney Resorts will move your luggage for you while you’re out enjoying yourself. Be sure to ask about this at check-in and again at check-out at your first Resort to make sure everyone knows where you and your luggage should be going.

One caveat: Your luggage usually moves at a more leisurely pace than you; you might arrive at your new Resort ready to take a swim and find that your bathing suit is still somewhere en route. Be prepared with a few things in a tote bag if you think this possibility could interfere with your plans.

Check-out Info

Generally, you do not need to go to the front desk to check-out. If you leave a credit card number at check-in, you can expect express check-out. On check-out day, you will receive a bill at the email you left on file. This bill itemizes all room charges, taxes, food, and merchandise charges made on your MagicBand/MagicMobile, plus any payments which have been applied. If everything is in order, you’re free to leave. If there appears to be a problem on your bill, you will have to go to the front desk to check out.

Yacht Club Resort Front Desk

Be sure to resolve any problems with your bill BEFORE you leave the Resort. Resolution is much simpler that way. Best advice is to stop by the front desk on your last evening to review your bill.

Room Requests

Cribs for children under three are available at all Resorts at no extra charge. They are portable pack ‘n’ play style.

Small refrigerators are available at every Disney Resort. Some Resorts, like the Boardwalk Villas, Fort Wilderness Cabins, and Old Key West, have partial or full kitchens that include a refrigerator. See the list of Resorts with kitchen facilities later in this FAQ.

Animal Kingdom Lodge Mini-Fridge

Other common room requests include bedrails, microwaves, extra blankets and pillows, and (of course) extra towels. Guests may be able to request a sharps container or other health-related items. Check with the front desk to see what’s available ahead of your visit. Note that these items are subject to availability. It’s a good idea to submit the request before you arrive, though you may need to call the front desk when you arrive as well.

Accessible Resort Rooms

Select rooms come equipped with handrails, roll-in showers, shower benches, handheld shower he

ads, accessible vanities, rubber bed pads, lower beds, refrigerators, closed-captioned television, door knock and phone alerts, double peep holes in doors, room TTYs, and king-size beds.

Pop Century Accessible Room

Be sure to request one of these rooms when you make your original reservations as each resort has a limited number of equipped rooms. Some resorts can provide you with a wheelchair to use at the resort, free of charge, for the length of your stay, based on availability.

Lobby Concierge

Lobby Concierge is staffed with Cast Members who are knowledgeable about the parks, transportation, and events. You can purchase admissions media for the parks, water parks, or special events at Lobby Concierge. They should be able to answer your Disney transportation questions. You may also use Lobby Concierge to arrange for Advance Dining Reservations and Disney Park Pass reservations. Many Lobby Concierge counters have signs with park and transportation hours and special events notices.

Packages and Discounts

Room Prices

Like most hotels, Disney Resorts have seasonal as well as weekday and weekend pricing. The least expensive rate will be on weekdays during Value Season, followed by Regular Season, Peak Season, and Holiday Season. Also like many other hotels, the room rate rises on Fridays and Saturdays.

Wilderness Lodge

At one time, you could make a reservation that began in Value Season and keep that rate, even if the calendar moved to Regular Season. No more. Pricing and rates are now date-specific — that is, you will pay a nightly rate based on that date, based on the season it falls under. When you see a price quoted on DisneyWorld.com, it’s an average of the prices of all the nights you requested.

Likewise, park ticket pricing is also date-based, so pricing will fluctuate depending on the day you start your vacation and the number of days you spend on vacation.

There are several options available including Magical Express (through 12/31/2021), town car service, Minnie Vans (*currently unavailable), taxis, Uber, Lyft, and Mears Connect.

Click here for a detailed description of the options.

Directions from MCO to Walt Disney World

Use our directions page — choose the airport and Disney Resort name then click submit for driving directions

Resort to Parks Transportation

The Contemporary, Grand Floridian, and Polynesian Village all have direct monorail service to the Magic Kingdom and transfer monorail service to Epcot at the Transportation and Ticket Center (TTC ).

To get from these resorts to Disney’s Hollywood Studios, Animal Kingdom, Disney Springs, Blizzard Beach, or Typhoon Lagoon board a correspondingly marked bus outside your resort to your final destination.

Monorail at Polynesian

Guests at Fort Wilderness have a direct Animal Kingdom bus; a boat to the Magic Kingdom; all other parks are reached by taking a bus to the Transportation and Ticket Center (TTC) and transferring to another bus or monorail.

Skyliner Resorts have access via Skyliner to EPCOT and Disney’s Hollywood Studios. Resorts with Skyliner stations include Caribbean Beach (hub), Art of Animation, Pop Century, and Riviera Resort. Some lines will require transfers at the hub.

Friendship Boat service is available to EPCOT and the Hollywood Studios from the Boardwalk, Beach and Yacht Club, Swan, Swan Reserve, and Dolphin.

All other Resorts offer bus transportation to the parks.

Skyliner

Travel Between Resorts

One way to go from one Resort to another is to take the bus/monorail/boat/Skyliner to the nearest open park and transfer to the correct resort bus. Allow a good 90 minutes to do this. This can get tricky after the parks close, in which case you should travel to Disney Springs and then transfer to a bus to your Resort. Keep this in mind when making dinner reservations. Always plan a minimum of 90 minutes to travel from Resort tP park tR resort.

Car (private car, Minnie Vans, taxi or Uber/Lyft) will be the most direct and quickest way to travel Resort to Resort. Bell Services will be able to get a taxi for you.

Wheelchair Accessibility with Disney Transportation

Disney buses have wheelchair lifts at the rear door. The driver should help you board the bus. Some boats allow for wheelchairs and ECVs. The Monorail is wheelchair accessible. The Skyliner is wheelchair accessible.

See our section on Mobility for full details.

Renting a Car at Walt Disney World

Alamo and National Car Rental has an office located at the Car Care Center outside the Magic Kingdom and at the Dolphin Resort. Shuttle service to the Car Care Center is available from all Resorts and must be reserved at least one hour in advance.

Alamo/National is open seven days/week from 7:30AM to 6:30PM. The Dolphin is open from 8:15AM to 4PM. The phone number is 407-824-3470 or 800-227-7368. Reservations are strongly suggested if picking up a car at one of the on-property rental centers.

There is a fee for overnight self-parking at Walt Disney World Resort hotels. The Walt Disney World Swan, Swan Reserve, and Dolphin also charge for overnight self-parking. Click here for current pricing and other parking-related information.

There is also a charge for valet service (+gratuity). If you have a handicapped sticker or license plate, valet parking is free. If you are a Florida Resident or Annual Passholder with a Tables in Wonderland Dining Card, your parking will be free if you show a dated dining receipt for that occasion.

Resort Security

If you want to drive yourself to a different Resort hotel than the one in which you’re staying ,you currently must have a Resort reservation, an Advance Dining Reservation, or a current Mobile Order that is ready for pick-up. If you have a reservation for recreation at a Resort, that will likely also work.
